Once you have received an offer of employment at CMES you should ask to be set up in the Harvard System. Newly appointed assistants must present the following employment verification to the CMES Financial Associate (all these documents are available on the CMES website):
- A completed I-9 form
- A passport or a valid driver’s license and a) social security card or b) birth certificate
- Social security number
- Completed tax-withholding forms, including a Federal W-4 Form and a Massachusetts M-4 (student versions). International students should go to the IRS website to determine their eligibility from tax withholding.
- If you wish your pay to be deposited directly into a checking or savings account, you will need a Direct Deposit form with a voided check attached.
- Work-Study may be a requisite/preference for your employer. If you are eligible for Federal Work Study, you must contact your financial aid officer to discuss eligibility. If eligible, you will receive a Notice of Financial Support, which will allow you to obtain a work-study job referral from the GSAS Admissions and Financial Aid Office. Please present this to the Financial Associate.
- A CMES Student Employment Requisition form completed by your supervisor.
It will take a minimum of five business days from your meeting with the Financial Associate to set you up in the Harvard PeopleSoft System.

Once set up in PeopleSoft, student employees will use the self-service tools to view personal and paycheck information and to enter time worked. Please alert the Financial Associate or Administrator right away if you are unable to access PeopleSoft to record your time and labor.
As soon as your appointment is official and you have been entered into the system you can use PeopleSoft to enter your hours every week by Friday by 5pm (earlier before holidays). You must also e-mail your hours in spreadsheet form to your supervisor and Alison Howe, howe@fas.harvard.edu
- Use your Harvard ID number and create a password if you don't already have one. This combination will be needed to log into PeopleSoft and many other Harvard websites.
- Review PeopleSoft instructions
- Log in to HARVie and then choose "Peoplesoft Access". Once you are in Peoplesoft, you can follow the directions in the above document.
According to federal regulations you must report your hours weekly.
Discrepancies or other problems with your paycheck should be reported to your supervisor.
